SBI Feedback Builder: Turn Vague Complaints into Clear Messages
You know something is off with a colleague but every attempt to name it comes out as a character attack. Hand over your rough complaint. It splits the feeling into Situation, Behaviour and Impact: the specific moment, the observable action only, and the real effect. You end up with something you can actually say out loud. For managers who feel the problem but cannot phrase it.
I have a vague concern about a team member that I struggle to articulate clearly. My rough complaint is: "{VAGUE_COMPLAINT}". Rewrite this as a precise SBI (Situation-Behavior-Impact) feedback statement. For each component: Situation, pinpoint the specific context or event; Behavior, describe only observable actions, not interpretations or character judgments; Impact, explain the concrete effect on the team, project, or stakeholders. Then provide a second version that is slightly softer in tone, suitable for a first-time conversation. Flag any language in my original complaint that could come across as accusatory or vague and explain why. ⚠ human-in-the-loop: you are responsible for the results of using this prompt, not us.
