WORK REPLY BATCHING 139 words
Plan a single 30-minute session to clear the reply queue
You have half an hour before the next call and a stack of emails owed a reply. This estimates the effort for each one, quick, medium or complex, then sequences the quick and medium ones so you clear the most in the window you actually have. You leave the session with the queue shorter, not with one perfect reply written.
Here are the emails sitting in my inbox that need a reply:
{EMAIL_LIST}
My role: {MY_ROLE}
I have exactly {BATCH_TIME} minutes to clear as many of these as possible.
Do the following:
1. Estimate the effort for each reply: Quick (under 2 minutes), Medium (2-5 minutes), or Complex (needs research or a call first).
2. Sequence the Quick and Medium replies in the order I should tackle them to get through the most in my time window.
3. For each Quick reply, draft the reply in full so I can copy, adjust, and send.
4. For Complex replies, write a one-line placeholder I can send now to acknowledge and set expectations while I prepare a proper answer.
5. Flag any emails I should remove from the queue entirely, either by delegating or deciding no reply is needed. ⚠ human-in-the-loop: you are responsible for the results of using this prompt, not us.
