WORK DELEGATE OR DIY 123 words
Decide which emails to forward and which to handle yourself
You are at capacity and still answering things a colleague could handle better. This looks at each email and recommends handle myself, where only you have the context or authority, or delegate, naming who is better placed and why, with a one-line forwarding note drafted. You keep the work that needs you and let go of the rest.
Here are the emails currently in my inbox requiring a response or action:
{EMAIL_LIST}
My role: {MY_ROLE}
My team members and their strengths: {TEAM_CONTEXT}
My current capacity: {MY_CAPACITY}
For each email, recommend:
- HANDLE MYSELF: only I have the context, authority, or relationship to respond effectively.
- DELEGATE: a colleague is better placed. Name who, explain why, and draft a one-line forwarding note.
- COLLABORATE: I need to respond but should loop in a colleague. Name who and what input I need from them.
After sorting, give me a delegation health score: what percentage of my inbox should I own versus hand off? If the ratio is off, explain why and suggest a structural fix (e.g. out-of-office rule, auto-forward, team alias). ⚠ human-in-the-loop: you are responsible for the results of using this prompt, not us.
